Give the Agent a Clear Job

We define the trigger, inputs, desired output, available tools, and completion conditions. A sales-support agent might organise an enquiry and draft a response; an operations assistant might summarise a request and suggest its next owner. Each workflow should have a limited purpose and a named business owner. Unclear instructions and missing information need explicit fallback behaviour.

Connect Only the Tools It Needs

Tool access is scoped to the job: reading approved records, searching documents, preparing a draft, or creating a proposed task. Credentials stay on the server and permissions follow the user or service role. Irreversible or externally visible actions can require a separate confirmation. We also distinguish trusted instructions from content found in documents, emails, or other external sources.

Make Approval and Recovery Part of the Flow

An agent may encounter an unavailable service, incomplete data, or an uncertain result. We design review queues, retries, escalation, and a way to resume or stop work. An action log should make it possible to see what information was used and what happened next. Repeated triggers should not silently create duplicate records or repeated messages.

Evaluate Before Expanding Responsibility

We test representative tasks and difficult cases, including requests outside scope and instructions embedded in source material. The review considers task correctness, unauthorised actions, resource usage, and the quality of handoffs to people. A successful narrow pilot can justify additional tools or workflow stages. Expansion should follow evidence, with updated evaluation cases for the new responsibilities.
