Build an Approved Knowledge Base

We identify the source documents and the person responsible for each category of content. Preparation can include removing duplicates, separating outdated material, and preserving useful headings and metadata. Updates need a repeatable path into the knowledge base. A small, well-maintained collection is often a better starting point than importing every available file.

Ground Answers in Relevant Sources

Retrieval-augmented generation, often called RAG, combines a search for relevant material with an AI-generated response. We can include source links or document references so a reader can inspect the basis of the answer. The assistant needs rules for incomplete, conflicting, or unavailable information. Source retrieval improves grounding but does not eliminate the need to evaluate answers.

Design the Conversation Around a Real Task

A website assistant may guide visitors to the right service or help collect an enquiry. An internal assistant may help staff navigate approved procedures. We define useful starting questions, follow-up behaviour, and the point at which a form or human handoff is more appropriate. Important information should remain accessible through normal navigation as well as conversation.

We can constrain its intended scope to approved sources and instruct it to decline unsupported questions. Evaluation and ongoing review remain necessary because model outputs can still be incorrect.

Can it cite the documents behind an answer?

Yes, when the source system provides stable identifiers or links. The interface can show references alongside the answer, helping users check context and continue reading.

What file types can be used?

The ingestion approach depends on your source systems and document formats. We assess the quality of text extraction, tables, scanning, and metadata during discovery. Complex or scanned documents may require additional processing.

How is the assistant kept up to date?

Content owners, refresh schedules, change detection, and retirement of old information are defined as part of the workflow. Updates should be checked before they become available to the intended audience.

Can a person take over a conversation?

A handoff can collect the question and relevant context for an approved contact route or service tool. Any transfer of conversation data should follow the privacy and operating requirements agreed for the project.
